GFWC VA Reporting Instructions DISTRICT CHAIRMEN/DISTRICT JR. CHAIRMEN (Departments/Programs/Special Projects) RECEIVE: Postmarked January 25 or earlier from each Club ONE copy of GFWC Report Form (stat sheet) attached to Narrative Report form for the area(s) you chair. (District chair-men will also receive reports from District Junior chairmen postmarked February 10 or earlier) WRITE: COMPILATION Use blank GFWC Report Form for your compilation. Check "District" and fill out only information that pertains to you as District Chairman. Tally statistics received on all clubs’ GFWC Report Forms FOR YOUR AREA(s) ONLY and fill in the appropriate columns – one sheet per program area/Special Project. On a separate page list names of clubs that did not report in the area you chair. NARRATIVE – (Use Narrative Report Form found in the GFWC Virginia yearbook.) Three pages, single space, 10-12 pitch font, front side only detailing club activities to give an overall picture of what was done in your District during the past year in the area(s) you chair. One Narrative Report for EACH area/special project you chair. Include in your Narrative, activities performed as District Chairman/Junior Chairman. You will need TWO copies of each compilation and narrative. NOTE: If your district does not have separate Junior Chairmen, clubs are instructed to send their reports directly to the District Chairmen. NOTE: For districts that do have Junior Chairmen, the District Chairmen need Junior Chairman’s report to combine with general clubs for compilation and narrative reports making a composite District report for the area(s) chaired. That is the reason for the different deadlines shown below. MAIL (DO NOT HOLD PAST DEADLINE): District Junior Chairmen: Postmarked February 10 or earlier to your District Chairman: ONE copy of your compilation and narrative ONE copy of each club’s GFWC Report Form and Narrative. District Chairmen: Postmarked February 20 or earlier to your State Chairman: ONE copy of your compilation and narrative (which includes Junior information) ONE copy of each club’s GFWC Report Form and Narrative – both General and Junior. **Courtesy Copy (mark FYI) of compilation only to Dist. President or Dist. Director of Junior Clubs would be appropriate**. RETAIN for your files: ONE copy of your compilation, and narrative. ONE copy of each Club’s GFWC Report Form (stat sheet) and Narrative Report Forms (If you only received one copy per your district’s reporting instructions, please make a copy for your files and for judging purposes.)

WRITE: COMPILATION Total the statistics received from the District Chairmen’s GFWC Report Form on a blank GFWC Report Form (stat sheet) FOR YOUR AREA(s) ONLY and fill in the appropriate columns – one sheet per program area/special project. Use blank GFWC Report Form for your compilation. Check "State" and fill out only information that pertains to you as State Chairman. Use your compiled statistics on the GFWC Report Form (stat sheet) and complete a GFWC Report form for each of your area(s) (fill in the appropriate columns – one sheet per program area/Special Project). NARRATIVE – (Use Narrative Report Form found in the GFWC Virginia yearbook.) Three pages, single space, 10-12 pitch font, front side only detailing how clubs promoted objectives during the past year in the area(s) you chair – one Narrative Report for each area/special project you chair. Include in your Narrative, activities performed as State Chairman including workshops, newsletter articles, and other ways you AND District Chairmen/Junior Chairmen promoted the objectives of this program area/special project. You will need a total of THREE copies of each compilation and narrative. MAIL Postmarked March 15 or earlier (DO NOT HOLD PAST DEADLINE): To your GFWC Chairman: ONE copy of your GFWC Report Form compilation and narrative for the area(s) you chair. To GFWC Virginia President: ONE copy of your GFWC Report Form compilation and narrative for the area(s) you chair. RETAIN for your files: ONE copy of your GFWC Report Form compilation and narrative. ONE copy of each Club’s GFWC Report Form and Narrative Report Forms. DETERMINE winners. Write one-half page per program area that you are a chairman for and include list of winners with brief description and send to GFWC Virginia 1st VP to have certificates made and for inclusion in GFWC Virginia Annual Report.

MEMBERSHIP RECEIVE: Postmarked February 20 or earlier from each District Junior Chairman: ONE copy of each clubs’ Narrative Report form. You MAY also receive a copy of each District Junior Membership Chairman’s compilation and narrative. WRITE: After deciding on winners for each size categories write a description of winners as instructed by GFWC Virginia Assistant Director of Junior Clubs to be used in GFWC Annual Report booklet. You will need THREE copies. MAIL: To GFWC Virginia Assistant Director of Junior Clubs a list of winners and description. To GFWC Virginia Director of Junior Clubs a list of winners and description – FOR INFO ONLY RETAIN for your files: ONE copy of winners list and description. ONE copy of each Junior Club’s Membership Narrative.
GFWC JUNIORS’ SPECIAL PROJECT – ADVOCATES FOR CHILDREN RECEIVE: Postmarked February 20 or earlier from each District Junior Chairman: ONE copy of each Junior club’s GFWC Report Form (stat sheet) attached to the Narrative Report Form for your area PLUS the District Junior Chairman’s compilation of statistics on a GFWC Report Form (stat sheet), list of Junior clubs not reporting and District Junior Chairman’s three page narrative. GFWC VIRGINIA JUNIOR CONTINUING PROJECT –CAMP EASTER SEALS VIRGINIA Clubs will report any activities associated with Camp Easter Seals Virginia under the Home Life Department. Junior clubs have been asked to submit to the Camp Chairman the GFWC Virginia Junior Continuing Project Form found in the Junior Section of the GFWC Virginia yearbook. RECEIVE: Postmarked February 20 or earlier from each Junior club ONE copy of the GFWC Virginia Junior Continuing Project Form. SUBMIT: By February 25 to the State Home Life Chairman information concerning how you have promoted the project including workshops, newsletter articles, fundraising efforts, etc. to be included in her overall report. DETERMINE: Winners. Write one-half page and include list of winners with brief description. Send to GFWC Virginia Assistant Director of Junior Clubs to have certificates made and for inclusion in the GFWC Virginia Annual Report. RETAIN for your files: ONE copy of each Junior club’s GFWC Virginia Junior Continuing Project Form and Narrative. |
